What We’re Looking For: Inventory and Logistics Coordinator

We are seeking a highly organized and proactive individual to join our team as a full-time Inventory and Logistics Coordinator. In this role, you will be responsible for managing inventory, processing orders, and ensuring clear and timely communication with vendors, customers, and internal teams. Strong multitasking abilities, excellent communication skills, and the ability to work independently in high-pressure situations are key to success in this position. We are looking for a reliable and detail-oriented candidate who can efficiently handle multiple tasks while maintaining a high level of accuracy.

Stepping into the Role: Core Responsibilities for Success

  • Email Management: Monitor and respond to emails throughout the day, addressing customer inquiries, processing quotes, and providing lead times.
  • Order Processing: Print and review bills of materials, check part availability, place orders with vendors, track lead times, and update inventory software with any price adjustments.
  • Inventory Management: Pull parts from inventory, label and package items, document, and file photos of parts, and adjust inventory counts for received and returned items.
  • Coordination with Panel Shop: Deliver modules to the panel shop, communicate job urgency, and ensure completed panels are properly shelved and labeled.
  • Pick Ticket Creation: Generate pick tickets within inventory software, placing them in job folders for signature when materials are picked up.
  • Receiving and Shipping: Verify received materials, update inventory quantities, and manage the shipping of parts to customers, including handling RMAs for repairs.
  • Customer Interaction: Manage phone calls from technicians and customers, providing part prices, availability, and processing stock orders as inventory levels deplete.
  • Quote Management: Prepare and send quotes to customers, coordinate shipping or direct orders upon acceptance, and forward accepted quotes to Admin for billing.
  • Other duties assigned.

What Makes You Stand Out: Qualifications Needed to Apply

  • Ability to work independently and manage time effectively with minimal supervision.
  • Strong written and verbal communication skills.
  • Ability to perform well under pressure while managing high volumes of phone calls and emails.
  • Proficiency in inventory management software and Microsoft Office Suite.
  • High attention to detail and excellent organizational skills.
  • Previous experience in inventory management, logistics, or a related field is highly preferred.
  • Familiarity with vendor management and procurement processes is a plus.
